Terms of service

Terms of service.

Last updated July 20, 2026. These terms cover PilotCall pilots, subscriptions, acceptable use, and the consent responsibilities that come with live-call software.

1. Agreement

These terms govern access to the PilotCall desktop application, website, and related services. By starting a pilot, creating an account, or subscribing, your organization agrees to these terms. If you are accepting on behalf of a company, you confirm you have authority to bind it.

2. The service

PilotCall provides live call guidance: real-time transcription, playbook-grounded suggestions, sentiment and action-item analysis, and follow-up email drafts, delivered through a Windows desktop application.

Pilots are scoped engagements. Sample data is used first, and consent, retention, and access settings are agreed before live customer calls are involved.

3. License and restrictions

PilotCall grants a non-exclusive, non-transferable license to use the application for your organization's internal business calls during an active pilot or subscription.

You may not resell, sublicense, reverse engineer, or use the service to build a competing product, and seats may not be shared between users.

4. Your calls, your consent obligations

Call-recording, monitoring, and consent laws vary by state and country, and your organization is solely responsible for complying with the laws that apply to its calls, including any required participant disclosure or consent.

PilotCall's role is to make consent and retention settings explicit before launch; it does not provide legal advice and does not accept responsibility for how your team conducts its calls.

5. Your data

Playbooks and reference documents you upload remain yours. You grant PilotCall the limited rights needed to process them for providing the service.

Data handling, third-party processors, and retention controls are described in the Privacy Notice and on the Security page, which form part of these terms.

6. Fees and billing

Paid plans are billed per seat, monthly or annually, with live-call minute allowances by tier. Overages trigger a review conversation before any hard stop.

Fees are non-refundable except where required by law or agreed in a pilot's scope. Prices for new terms may change with notice before renewal.

7. Disclaimers

The service is provided "as is" during pilot-stage commercialization. PilotCall does not warrant uninterrupted operation, transcription accuracy, or that suggestions will improve sales outcomes.

Suggestions are decision support for a trained rep, not a script that replaces judgment.

8. Limitation of liability

To the maximum extent permitted by law, PilotCall's total liability arising out of the service is limited to the fees paid in the twelve months before the claim, and neither party is liable for indirect, incidental, or consequential damages.

9. Termination

Either party may end a pilot at its defined checkpoint. Subscriptions may be cancelled effective at the end of the current billing period. PilotCall may suspend access for material breach of these terms, including acceptable-use violations.

10. General

These terms are governed by the laws of the State of California, USA. Updates to these terms will be posted on this page with a revised date; continued use after an update constitutes acceptance.
